Description: 

We are currently recruiting for an Administrative Assistant in a Direct Hire role to work in the corporate office for an industrial parts manufacturer in the Port Allen/Plaquemine area that services many of the industrial plants in the area with custom CNC machining, machinery repair, manual machining and consulting services. The Administrative Assistant will assist in the operation and day to day activities of the department. This includes answering telephones, assisting branch managers with questions and requests, distribution of work orders to maintenance personnel and general administrative duties. The selected individual will also be responsible for maintaining a computerized work order system. The hours are 8:00 AM to 5:00 PM, Monday to Friday, and the selected applicant will be required to have reliable transportation to and from the office in Port Allen.


Responsibilities include:

  • Computerized Work Order system data entry and day to day management and operation. Distribution of generated work orders.
  • Answer telephones and direct branch management queries.
  • Filing, processing and organization of invoices, statements, sales orders, etc.
  • Preparation of repair reports to customer needs
  • Effectively communicate with knowledge and understanding of the products and services offered to internal and external customers.
  • Contact daily, outside vendors on all requests received for equipment maintenance
  • Order office and shop supplies
  • Maintain call duty rooster and updating phone number weekly for call duty
  • Create purchase orders with vendors
  • Record and store customer information
  • Handle other administrative and office duties as assigned



Requirements: 
  • Previous administrative assistant experience required
  • Proficient with Microsoft Office (Windows 10, Word, Excel, Outlook) and general computer navigation
  • Must be organized and motivated
  • Must be able to respond to telephone inquiries in a polite and intelligent manner
  • Excellent written and oral communication skills
  • Ability to prioritize, multi-task and self-start projects
  • Must be able to handle sensitive documents and maintain high level of confidentiality
  • High School diploma or equivalent GED
  • Must be dependable and trustworthy
  • Reliable Transportation
